Registration


OUTSIDE Exhibits

Standard outside exhibit spaces are on concrete or grass, are 40’ X 40’ and include a 10’ X 10’ tent with roll-up sides. Tents will be suitably anchored by our tent company. If you desire a different tent arrangement, please let us know and we can set up whatever you need, at additional cost.

Each space will include a table, table cover and two chairs.

Spaces on concrete will include tie-down anchors, you are responsible to provide suitable tie-down ropes for your display.

Spaces on grass do not include either anchors or ropes. You must tie down your own exhibit and be responsible for its security.

Outside Exhibit spaces will not be provided electrical power. You may provide and use a small generator on your space so long as the noise is not objectionable to adjacent exhibitors.

If your display includes a trailer or motor home, or you require any other arrangements, please contact us.

Outside exhibits are to be open from 9:00 AM to 5:00 PM daily (Thursday, Friday and Saturday) and 9:00 AM until 3:00 PM on Sunday.

InDOOR Exhibit

Indoor exhibits will be in large tents and will be 10’ x 10’. Each booth will include one 8’ table, table cover, rear and side drapes and two chairs. The five large tents are each 30’ x 100’ and will include 20 exhibit spaces. These large tents are located in the center of the exhibit area as shown on the layout diagram.

Indoor exhibits will be lighted and provided limited electrical service sufficient to power notebook computers or video displays. If you require additional power for your display, please contact us.

Exhibits will be open from 9:00 AM to 5:00 PM daily (Thursday, Friday & Saturday and from 9:00 AM to 3:00 PM on Sunday) during the Expo.

REGISTRATION

To register, review the layout and contact us. The most effective way will be by email to expo@sebring-airport.com or by telephone to (863) 655-6444 Ext. 117. You may leave a voice mail and we will contact you as soon as convenient. You may Fax the information to (863) 655-6447 or mail it to:

Payment:  

By October 31, 2009 if you have a space reserved we will mail a contract to you. This will list your space number and provide details concerning the Expo. We ask that you make payment to us by November 30, 2009 by check or credit card. After December 1, 2009 prices will increase.

Cancellation/Refunds:

If you find it necessary to cancel and notify us in writing by December 31, 2009, your payment will be refunded in full. If you do not notify us by this date, refunds will not be granted. 

Terms and Conditions:

Exhibitor setup and teardown: We ask that all exhibits be completely setup by 4:00 PM on January 20, 2010. Disassembly of your display must not start prior to 3:00 PM on Sunday January 24, 2010. Late setup and early teardown creates problems in the display area and is discourteous to other exhibitors. (As you know, we charge a fee for people to see the exhibits, and it is not acceptable for us to charge a fee and have several exhibits not available for those paying to get in. Exhibitors tearing down or departing prior to 3:00PM on January 24, 2010 can expect that they will enjoy a very low priority for space for Expo 2011!!) 

Parking and Event Passes (wristbands): Each exhibitor will receive two (2) exhibitor parking passes. Each will also receive up to three (3) event passes per space rented. Additional exhibitor parking passes and event passes may be obtained for an additional fee upon your arrival at the Expo.

Confirmation: Upon completion of reservation you can rest assured that the space(s) you have reserved will be kept for your use during the event. We will forward to you a contract outlining our relationship during the event.

Arrival: Upon your arrival at the site on January 20, 2010, proceed to the Exhibitor Registration Tent where you will receive your Exhibitor Packet and directions to your exhibit site. If you fly your display aircraft to the event, please do not bring the aircraft into the Expo display area prior to coordinating with the people in the Exhibitor Registration Tent.
